Privacy & Spam Policy - Stellar Coaching

 
 

The recent changes in UK law acted as a good prompt for us to review  how we operate with regards to data privacy. Confidentiality and respect of our clients’ information and privacy are key to our business and treated as such. We have created this policy to be open with our clients and partners as well as demonstrate our commitment to data privacy and transparency.

You will be able to find, details on how we collect, store and use data as well as how we intent to use it.  

 

Information on data collection

As a client, you will be asked to provide information about you, that will be stored safely in our database, such as name, address,  email address or phone number. This is important for the running of our business and for credentialing purposes.

Some notes relevant to the running of our coach/client relationship might be taken during the sessions. These are kept to a minimum to support the coaching process and are kept in an anonymous way so that it cannot be linked back to a particular client. 

 

How we use your information

The information collected may be used in a number of ways, always ensuring that this is in our client’s interest or required to run our business.

As an accredited member of the International Coaching Federation, in accordance with their code of ethics and requirements, we might be asked to share some of this information with them for accreditation verification purposes only. We are required to keep a log of all coaching hours including enough details to be able to validate those coaching hours with some clients, if required. This is very unlikely but can however happen.

But first and foremost, we aim to develop a personal and relevant experience with each client by

  • responding to online client-led requests for information or contact
  • making appropriate contact for and in-between sessions
  • keeping you updated with new or changing services, if deemed appropriate
  • sharing relevant content, news about us or promotional activities in the form of an email or newsletter 
  • tailoring the customer experience of each client to their needs

 

How we protect your personal information

We adopt the most appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information to the best of our ability. 

We do not use email encrypting and therefore cannot guarantee that information shared via email cannot be intercepted. If you prefer for us to not use emails and never share personal information via email, please let me know during our first conversation when we will agree ways of working.

We use physical (e.g. secure storage of files), electronic (e.g. password protection) and managerial procedures (e.g. defined processes and logs), to protect information collected online, via email and on on the phone to protect the loss, misuse and alteration of the information under our control. The use of these security measures is not a guarantee that this information cannot be intercepted.

We do not sell, trade, or rent personal information to any other third parties. 

Personal client information will never be shared with any other third party (other than the ICF as per above), unless required by law. 

Please note that it is my duty to report cases where I deem that a client is at risk of harm. 

 

Confidentiality

We will have a clear agreement when acting as a coach, facilitator or trainer, with both client and sponsor or student about the conditions under which confidentiality may be superseded (e.g. illegal activity or likely risk of danger to self or to others) and make sure both client and sponsor or student voluntarily and knowingly agree in writing to that limit of confidentiality. Where I reasonably believe that because one of the above circumstances is applicable, I may need to inform appropriate authorities.

 

Website 

Our technical agents, such as website host or email list provider, should not have access or store any information on our behalf and personal information is only used to complete your request (e.g. contact us request). 

All traffic information and analytics is provided anonymously as navigation statistics.

We do not use cookies to collect personal information.
